Job Description

Due to the continued growth and expansion of our Nuclear Team in Warrington, we are looking to increase our technical workforce and are seeking to recruit a Assistant Document Controller.

The Assistant Document Controller role will support the Document Controllers to cover the preparation, management and filing of project documentation for our projects. Training will be provided to the individual on the dedicated Document Controller tasks as well as other administrative supportive duties.

To be successful in this role, you should have previous experience reviewing technical documents, together with the ability to spot errors and effectively communicate to project team members and management.

Ultimately, you’ll support our procedures maintaining transparent, up-to-date and easily traceable document records.

Responsibilities

  • Administrative support to Document Controllers, Projects Lead and Administrators.

  • Supporting Lead Document Controllers, assisting with in house Records, preparation of work package for issues to clients (hard copy / electronic)

  • Archiving electronic and hard copy information project within the office.

  • Scanning, filing, print of drawings for packages of work.

  • Support to office reception and administration duties, providing reception cover, receipt of work parcels and packages for project work.

  • Copy, scan and store physical documents.

  • Check for accuracy and report any errors discovered to team members or project. management. Quality Checking of documents.

  • Review and update documents (e.g. Project registers & filing structures & workflows)

  • Distribute project-related copies to internal teams.

  • File documents in physical and digital records.

  • Archiving of project documentation.

  • Retrieve files as requested by employees and clients.

  • Manage the flow of documentation within the organization.

  • Maintain confidentiality around sensitive information and terms of agreement.

  • Prepare and update ad-hoc reports on projects as needed.

Qualifications

  • Proven work experience as a Document Controller or another administrative role.

  • Basic level IT support, assistance with MS applications and general IT equipment setup.

  • Knowledge of Electronic Document Management Systems (EDMS).

  • Proficient typing and editing skills.

  • Data organization skills.

  • High attention to detail and accuracy.

  • Good interpersonal skills.

  • Being able to work with one or more teams.

Education

The Assistant Document Controller role requires a Higher National Diploma in a relevant subject for this area. Minimum requirements for these courses and posts are GCSE’s (A-C)/S grades (1-3) including English, and some experience related to this sector. Or 3+ year relevant experience working in the Document Controller field.
